# Format & Export: Overview

# Format & Export Tool
The Format & Export Tool is where you transform your manuscript into a professional, publication-ready book.
Here you can customize your layout, typography, chapter styling, page setup, add images and export settings before publishing.

### Front Matter & Book Information
The Format & Export Tool is typically the final step before publishing.
The **Title Page** is the first page of your manuscript. Here you can edit:
* Title
* Subtitle
* Author name
The **Copyright Page** is also fully editable.
If needed, you can disable or remove the Copyright Page and Table of Contents from the exported version of your book.

### Table of Contents
The Table of Contents can be customized independently from your manuscript structure.
You can:
* Hide specific chapters or sub-sections
* Add custom entries
* Reorder custom entries using the six-dot drag handle
* Remove custom entries at any time
This is useful if you want to:
* Add bonus pages
* Create Part I, Part II, or other major book divisions
* Include supplementary pages
Important: Changes made here do not affect your actual book structure. If you want to add, remove, or reorganize chapters, use the BRD Creator instead.

### Formatting Toolbar
The Formatting Toolbar provides access to a wide range of layout and typography controls. From here, you can use templates, select from a variety of Library Pages, customize your font, font size, style, and color, insert tables, adjust page margins, add page breaks and configure page numbering settings.

### Template Tool
The Template Tool allows you to customize the overall design of your book and apply consistent styling across all your books.

Using the editor, you can:
* Select one of the available templates
* Create your own custom template
* Customize the appearance of your entire book

Manually creating templates gives you control over:

###### Typography
* Body font
* Heading font
* Font sizes
* Line height

###### Layout & Spacing
* Margins
* Page numbers
* Running headers
* Paragraph spacing
* Paragraph indents

###### Chapter Headers
* Title styles
* Label styles

###### Embellishments
* Ornaments
* Drop caps
You can also describe your book genre or desired visual style, and PublishFlow can generate a template based on your instructions.

### Library Pages
The **Library Tool** allows you to add additional pages to your manuscript.
Available page types include:
* Blank
* Lined
* Dotted
* Checkered
* Cornell Notes
* Habit Tracker
These pages will appear in both the preview and exported versions of your book.

You can customize the page size:
* 25%
* 50%
* 70%
* 100%
* Fill
 

###### Adding Blank Pages
For the cleanest results, we recommend adding it at the end of the preceding chapter rather than at the beginning of the next one.
This helps avoid potential formatting issues and ensures a smoother layout.

### Margins & Gutter Size
The gutter size is automatically calculated based on your page count to ensure proper print formatting.
If needed, you can still adjust your margins manually:
1. Open the **Margins** tool in the upper-right toolbar.
2. Modify the margin settings to your preference.

### Hyphenation Settings
You can turn hyphenation on or off directly inside the Format & Export Tool.
To adjust this setting:
1. Open the **Page Numbers** menu.
2. Scroll to the bottom of the dropdown.
3. Toggle hyphenation on or off.

### Adding Images & QR Codes
Images can be inserted directly into your manuscript through the Format & Export Tool.
To add an image:
1. Hover over the **+** icon on the left side of the editor.
2. Select **Image**.
3. Upload your file.
For best performance, images should be smaller than **5 MB**.

Once inserted, you can:
* Resize the image
* Add a caption
* Adjust position offsets
* Change alignment (left, center, right)
* Wrap text around the image
QR codes can be added the same way by uploading them as image files.

||| Important: When adding images to your manuscript, always use the **+** button in the left-hand toolbar. Dragging and dropping images directly into the editor is not supported. Images added this way are not saved correctly and can cause the export to fail.

### Reordering Chapters
You can reorganize your book structure at any time.
To move a chapter:
1. Click and hold the **six-dot handle** next to a chapter in the left navigation panel.
2. Drag the chapter to its new location.
3. Release it to update the chapter order.
The outline will automatically update to reflect the new structure.

### Exporting Your Book
Once your formatting is complete, you can export your manuscript in your preferred format (EPUB, DOCX, PDF) and prepare it for publishing.
Whether you choose to publish directly from your PublishFlow layout or continue working in external software, the Format & Export Tool gives you full control over the final presentation of your book.

###### Export Formats & Trim Sizes
PublishFlow supports exports in:
* PDF
* DOCX
* EPUB
You can also choose from multiple print trim sizes:
* 5" × 8"
* 5.5" × 8.5"
* 6" × 9"
* 7" × 10"
* 8" × 10"
* 8.5" × 11"

### Page Numbers
Page numbers are automatically recalculated based on your selected trim size and export format.

**Opening a DOCX in Word:** The page numbers in your table of contents are measured in the PublishFlow formatter. Word can lay out the same text slightly differently, so after opening the file the chapters may start on slightly different pages. If the numbers no longer match, click on the table of contents in Word and choose **Update Table**, then **Update entire table**. Word recalculates all page numbers to match its own layout.

If page numbers appear different inside the editor preview, don't worry. The final exported version will automatically adjust them correctly.

### Formatting Outside of PublishFlow
Using an external professional formatting tool is an alternative to the Format & Export Tool, not an extension of it.
If you prefer to finalize your layout externally, for example:
* To create more complex designs
* To work with a professional designer
* To build advanced illustration layouts
You can simply export your manuscript as a DOCX file and continue formatting in your preferred software.
There is no need to complete formatting inside PublishFlow first.
